1. Who we are

The 444 Systems Architect is operated by Transform AI ("Transform AI", "we", "us"). We are the data controller for personal information submitted through this site. Contact: dwayne@transformai.co.uk.

2. What we collect

When you complete the diagnostic we collect:

• Identity and contact details: full name, email, optional phone, company name and your role.
• Business context: sector, team size, revenue band, workflows, tools, decision processes and growth goals.
• Derived diagnostic data: scores, recommended pathway and summary text generated from your answers.
• Limited technical data: request metadata such as IP address and browser type, used only for security and abuse prevention.

3. Why we use it

• To generate your diagnostic report.
• To contact you about your results and a possible calibration call (only where you ticked the consent box).
• To improve the diagnostic, our recommendations and our services.
• To meet legal and accounting obligations.

Our lawful bases under UK GDPR are consent (for follow-up contact) and legitimate interests (for operating and improving the service).

4. Where it lives

Submissions are stored in a managed Postgres database hosted by our infrastructure provider in the United Kingdom / European Economic Area. Access is restricted to authenticated Transform AI staff via row-level security.

5. Sharing

We do not sell your data. We only share it with sub-processors who help us run the service (hosting, email delivery, analytics). All sub-processors are bound by data processing terms.

6. Retention

We keep diagnostic submissions for up to 24 months from the date of submission, unless you ask us to delete them earlier or a longer period is required by law.

7. Your rights

You have the right to access, correct, export or delete your personal data, to withdraw consent at any time, and to lodge a complaint with the UK Information Commissioner's Office. To exercise any of these rights, email dwayne@transformai.co.uk.

8. Cookies and analytics

The site uses only essential cookies required for the diagnostic flow and admin login. We may aggregate anonymous, non-identifying usage events to improve the product. No third-party advertising cookies are set.

9. Changes

We may update this policy as the product evolves. The "Last updated" date at the top of this page reflects the most recent change.
